Booking your holiday

Booking your holiday To book your holiday, you can complete our online booking form, though if you have any queries whatsoever, we recommend you call us on 01653 617920 instead so that our expert reservations staff can advise you. If you are calling us to make a booking, please have the following to hand:

• Full passport names and dates of birth of all party members
• Addresses of all party members
• Contact details of a friend or relative in the UK we can contact in the case of an emergency while you are on holiday
• Payment details

If you are arranging your own insurance, we also require:
• Name of your insurer
• Policy number
• Medical emergency helpline

However you book, we require a deposit of £150 per person to confirm the reservation, along with your insurance premiums (if required) and any additional deposits which may be required to secure particular flights. It is assumed that you have accepted our Booking Conditions.

Once we have made the requested reservations, we will send you a Booking Confirmation and Invoice confirming the principal elements of your holiday. We ask that you pay the balance 8 weeks before departure, and will normally send your documentation 2-3 weeks in advance of your holiday. We will consult you if we cannot make any of the arrangements, unless it is just a minor detail, and will refund your deposit in full if we are unable to arrange the holiday requested or offer an acceptable alternative. Where the minimum number of participants for the dog-sledding at Ylläs holiday is not reached, we will contact you 8 weeks before departure. If we have to cancel we will offer an alternative holiday or refund all monies paid to you but we will be under no other liability.

Payment You can pay by bank or building society cheque (made payable to Inntravel Ltd), MasterCard, Visa, Visa Debit or Maestro. We are currently unable to accept American Express cards.

Last-minute bookings Last-minute bookings are often possible, for which we may have to make an extra charge for secure ticket delivery. We recommend you book as early as possible to get the holiday you want.

Your holiday price

Prices All prices on our website are expressed (unless otherwise stated, as in the case of room supplements) in £ per person, based on two adults travelling together and sharing a double or twin room. These prices vary according to season, with your start date determining the price. If you are travelling out a few days before you are due to arrive at your principal hotel, your holiday may fall within a different pricing period and incur additional charges. Please check with us when making your booking.

Children Child prices apply to children sharing a room with two adults - if your children are to occupy their own room, the full adult price will usually apply. We have published child prices for those hotels which are particularly well-suited for families (if you are interested in taking your family to any other hotel, we will be happy to provide a quotation). Because these hotels offer several types of room, and which room you choose will depend largely on the age and number of children in your family, our prices are based on our normal included room type. It will often be necessary, however, to upgrade to a larger room and pay the relevant supplement in the price panel. Infants under two years pay just £48 at these hotels, though no meals are included and they must share one of their parents’ seats on the plane.

Family room: add £30 per room per night.

Example: family of four with one child aged 12 and another aged 5 for the week starting 2 March. Each adult pays £798, the 12-year-old pays £669 and the 5-year old pays £495. The spacious family room is the most appropriate room to accommodate a family of four; upgrade for an additional £210 for the week (ie £30 x 7 nights), making a grand total of £2970.

Meals Dinner and breakfast are included at all hotels except city hotels, where you stay on a bed and breakfast basis. Several mountain hotels also include a light lunch or picnic - see the price panel for the exact meal arrangements, which do not include drinks, except at Mösern in Austria. Dinner is a half-board menu comprising 3 or 4 courses, often with regional specialities. Please inform us of any dietary requirements when you book.

Holidays by air Our holidays by air include return flights from London in economy class, plus onward travel. Most flights are scheduled services, though we also use charter flights for some holidays to Finland and Switzerland. The price panel outlines the included flights, the airline and provisional departure and arrival times (alternative timings might be offered depending on availability), plus the method and anticipated duration of the included onward travel, which is by rail/bus and/or taxi. Unless specified, we do not include transfers between airports and railway stations or your city hotel; buses cost approximately £8-£10. Full journey details are shown on your personalised Itinerary, which we include with your tickets and documentation. When you book your inclusive travel with Inntravel, all aspects of the holiday are covered by our Booking Conditions, including our obligation to get you to and from your holiday in the event of the failure of an airline or other disruption to travel services.

Holidays by rail Our ‘by rail’ prices include standard-class travel by Eurostar from London St Pancras to Paris, with onward travel (again in standard class) by other rail services. We give journey details in the price panel. We reserve seats for you (except on some local rail services) and arrange a transfer between your destination station and your hotel. Métro or RER tickets between Paris' mainline stations are also included.

Superior rooms Some hotels offer superior rooms, which we indicate in the price panel along with the amount (per room per night) to be added to the holiday price.

Single rooms Single room prices are shown in the price panels, either as the amount that should be added per night to the price in a twin or double room or, in the case of Winter Journeys, the total amount payable per week. In addition, as all our prices are based on two people travelling together, we may have to make a further charge if you are travelling on your own, which we will discuss with you at the time of booking.

Arrival day Your stay is Saturday to Saturday or Sunday to Sunday unless otherwise stated in the price panel. Sunday is usually the best arrival day, as Monday is then your first skiing day, when the trails are quieter. Over Christmas and New Year, departure days may vary and there may be a longer minimum stay requirement; we show this in the price panels.

Extending your holiday You can extend your holiday by adding an extra week (or, in low season, a part week) at your hotel. Please contact us for a quotation.

Other information

Bedrooms All hotel bedrooms include a shower or bath with WC (except wilderness hut at Ylläs and Engholm Lodge). Unless we specifically state in the holiday description that all rooms have a shower, or that they all have a bath, your room could have either. In these cases, provided rooms with baths and showers are the same price, we can specifically request, but not guarantee, either a bath or a shower. In Austria and northern Italy, many hotels offer Austrian-style beds comprising two single mattresses with individual bedding on one large base, while in Norway, double beds tend to consist of two singles pushed together.

Travelling with skis You can take skis on aircraft, but most airlines levy a charge at the airport for carrying them - please let us know at the time of booking how many ski bags you intend to carry.

Documentation We supply full documentation to help you get the most from your stay, with a local map, or cross-country and downhill ski plan where appropriate.

Continental time Continental time is one hour ahead of British time. The exception is Finland, which is two hours ahead of British time.

Scandinavia The best season for skiing in Norway and Finland depends on your preferences. The tranquil months of December and January are the heart of winter, with the lowest temperatures and shortest days. However, it feels considerably warmer due to the lack of humidity, and floodlit tracks mean you can ski even after it gets dark. By February, our chosen villages enjoy 8 or 9 hours of daylight.

Tuition & ski equipment hire You can hire boots, skis and poles, and arrange tuition, at all our villages. We are happy to pre-book this for you.

Other activities Other activities usually available in the village or nearby are listed in each holiday description. These do not necessarily operate during every week of the season, and may be weather dependent or require a minimum number of participants to proceed. A charge is made locally for most activities.

Insurance, passports, visas & health requirements

Insurance We offer a personal holiday insurance policy through Voyager Insurance, whose cover is among the most comprehensive available. The policy is specifically tailored to our type of holiday and, in addition to comprehensive winter cover, including downhill skiing cover, it provides medical emergency assistance at excellent value. As personal holiday insurance is so important, it is part of our Booking Conditions that you take out adequate cover. We will therefore require you to take out our policy and pay the appropriate premium at the time of booking unless you provide us with details of equivalent cover you have already arranged. It is your responsibility to ensure that your policy offers adequate, equivalent cover - we do not check alternative policies. (Our policy does not cover novice skiers aged 65 or over.)

Passports British citizens must have a full British passport to visit the countries in this brochure, but no visas are required. If your passport is due to expire, please check the requirements of the country you are visiting - some nations will not allow you entry unless your passport is valid for a further 6 months. A British passport presently takes approximately 4 weeks to obtain (see the United Kingdom Identity & Passport Service’s website, ips.gov.uk). If you or any member of your party is 16 or over and do not yet have a passport, our recommendation is that you should apply for one at least 6 weeks before your holiday. The UK Passport Service has to confirm your identity before issuing your first passport and will ask you to attend an interview in order to do this. If you or any member of your party is not a British citizen or holds a non British passport, you must check passport and visa requirements with the Embassy or Consulate of the country(ies) to or through which you are intending to travel.

Travel advice The Foreign and Commonwealth Office produces up-to-date travel information to help British travellers make informed decisions about travelling abroad. For further information, please visit fco.gov.uk/knowbeforeyougo or telephone 0870 606 0290. Alternatively, contact ABTA’s Travel Information Line on 0901 201 5050 (calls are charged at 50 pence per minute).

Health Information on health is given on the Department of Health website dh.gov.uk and in the booklet T7 (Health Advice for Travellers) available from your local Department of Health office and most Post Offices. You should obtain a European Health Insurance Card (EHIC) prior to departure as this may entitle you to free or reduced-cost medical treatment while abroad (this card replaced the now defunct E111). You can apply online at dh.gov.uk, by telephone on 0845 6062030, or by post with a form from most Post Offices. Telephone and postal applications can take up to 21 days. Please note that an EHIC card should not be relied on as a substitute for comprehensive travel insurance. The EHIC scheme is valid in all countries of the EU, and Norway, and Switzerland also operates the same agreements.

Travel arrangements

You can fly from an airport near you, rather than from London. While our included flights depart from London airports, we pride ourselves on tailor-making our arrangements to suit each individual customer, and can therefore also book a wide range of other flights - some of them direct, others via London or other European hubs - from airports across the UK. There are too many options to list here, so please contact us to discuss your travel arrangements. We will talk you through the different options, their timings, conditions and prices to find the flights that best suit you. We can also offer cabin upgrades on most of our partner airlines. Benefits include faster check-in, dedicated airport lounges and greater personal space on board.

Our committment is to find the best flight arrangements for you, in terms of routes, prices, conditions and times. Capacity on flights is at times limited , and most carriers have several booking prices with economy class, with a variable number of seats available per price band. We have negotiated for our customers the tariff bands offering best value and available space, so the earlier you book, the better your chance of obtaining these seats upon which our prices are based. If these are not available, our experienced reservations team may be able to offer you economy seats on the same flight at a different price. In order to secure particular flight fares, we may require a higher deposit than normal, which we will advise you of at the time of booking.

'No-frills' airlines such as Easyjet and Jet2 offer an extensive network of services that can be useful for many of our holidays. They are easy to book online direct with the airline, but you should only do so once we have confirmed the holiday arrangements to you, and you should also bear in mind the need to have adequate insurance cover in the case of scheduled airline failure or disruption. The airlines do not offer special arrangements or pay commission to holiday companies but, if you would prefer, we may be able to make reservations on your behalf subject to a service fee of £25 per person. We can only make these flight bookings once the rest of the holiday arrangements are confirmed to us, and the full cost of the flights must be paid at the time of booking. Only if we make the reservation for you will you benefit from Inntravel's complete consumer protection for this aspect of your holiday. We reserve the right to withdraw this service for any particular route or airline at any time.

Advance Passenger Information (API) As part of safety and security measures an increasing number of countries require airlines to provide specific information about every passenger before their arrival in the country. This information includes full given names as shown on the passport, date of birth, nationality and passport number. Often these details are gathered at check-in, but some airlines require the information at an earlier stage. Where applicable and where we have booked flights on your behalf, we will request the required information from you to submit it to the airline.
